Website design and branding for ryokan, hotels, and villas
The website is where the stay begins.
A guest's experience begins long before booking, the moment they open your website. An image of rising steam, a line describing a guest room, the quiet rhythm of the page. Through web design and photo direction that convey your property's atmosphere, Rootfor builds anticipation for the journey.

Common challenges with ryokan, hotel, and villa websites
Booking sites, or OTAs (online travel agencies), are an important gateway for many guests to discover your property. But on OTA pages, photos, rates, and review scores are all lined up in the same format, which makes it hard for each property’s personality to come through. Do any of these sound familiar?
- 01Your property’s appeal is compared only by the photos and rates on booking sites
- 02You have your own website, but it isn’t leading to direct bookings
- 03You want to update your website and printed materials alongside a renovation or rebrand
- 04Your photos are dated and don’t convey the appeal of the seasons or your cuisine
- 05You can’t fully convey your property’s appeal, or how to enjoy a stay, to international guests
- 06You cannot quickly update seasonal packages and news in-house
None of these are problems with the property’s appeal itself; they’re problems with how it’s communicated and with the path to booking. Rootfor addresses both, with design that tells your property’s story and a path that lets guests book without getting lost.
Why direct bookings through your official website strengthen your business
OTAs charge a commission based on the booking value. Moving some bookings to your official website can help reduce those fees. We consider the costs of direct booking systems and ongoing operation as well, with the aim of leaving more profit to reinvest in guest rooms, dining, and hospitality.
The value of direct bookings goes beyond commissions. From the moment of booking, guests and the property are directly connected, so you can hear their requests in advance and send news of the next season, building relationships that lead to repeat stays on your own terms.
Guests who discover your property through an OTA need a reason to book directly. Your official website can tell a richer story about your history, cuisine, hot springs, and seasonal experiences, while making it just as easy to explore accommodation packages and complete a booking.
- 01
Lower commissions, keep more profit
Shifting some OTA bookings to direct bookings through your official website reduces the commissions you pay to OTAs. We look at the profit that stays with your property, including the cost of running direct bookings.
- 02
Connect directly with guests
Communication starts at booking, and the property itself can carry it through, from responding to requests to inviting guests back.
- 03
Chosen for value, not price
By communicating your property's distinct character, we help give guests a reason to stay with you beyond price alone.

Point
Increasing bookings through your official website reduces the commissions paid to OTAs and leaves more profit with your property. Rootfor designs websites with the entire path to booking in mind.
What Rootfor does for ryokan, hotel and villa websites
From web design and photography to copy, booking system integration, and support after launch, one team brings together the elements that connect your property's appeal with bookings.
- 01
Web design that captures your property's character
History, place, cuisine, hot springs. We tell the story only your property can tell through structure and design. Drawing on conversations during our visit and the atmosphere of the building, we find what makes you special and tailor every detail to you, from photo selection to type size and spacing. Each choice has a reason, so that every screen feels unmistakably yours.

- 02
Paths that lead to bookings
We organize your website so guests can easily explore accommodation packages and check availability. Clear paths connect the homepage, rooms, dining, packages, and booking buttons, including on smartphones. Working with your existing booking system, we make package listings and availability searches easy to find.

- 03
Photo direction
Photography makes a big difference in how well a property's appeal comes across. We plan each shoot around the season, time of day, food plating and the way light falls in the rooms, and direct on location on the day. Working back from the site structure, we capture exactly the shots we need.

- 04
Pages for international guests
For guests from overseas, we plan and produce foreign-language pages. Rather than simply replacing words, we organize the information first-time visitors want to know, such as how to use the hot springs, meal times and things to enjoy nearby.

- 05
Visibility in search and Google Maps
We refine page structure, headings and text so guests searching for terms like “[area] + ryokan” or “[area] + villa” can find you. We also suggest how to align your property's information and photos on Google Maps with your official website.

- 06
Brand-wide consistency
We bring together logos, on-site signage, brochures, and art, drawing on our spatial design experience. A new website has less impact if it feels disconnected from the property and its printed materials. By starting with branding, we create a cohesive guest experience before booking, during the stay, and after departure.

- 07
Updates and maintenance after launch
We build on WordPress (a content management system) so your staff can update seasonal plans and news themselves. We continue to support you after launch with update services, maintenance, photo replacement and new pages.

Our process for ryokan and hotel websites
From your first consultation to operation after launch, we work in the following steps. We plan a realistic schedule by working back from the season you want to photograph and your target launch date.
- 01
Site visit and interviews
We visit your property to experience its rooms, baths, dining, circulation, and surrounding scenery firsthand. Through conversations with the owner, the okami (the ryokan's host or manager), and staff, we discover qualities that have yet to be put into words.
- 02
Structure and copy
Based on what we discover during our visit, we design the page structure and the path to booking. At this stage, we also develop headings and text that convey your property's character.
- 03
Design and photography
We develop the design while sharing screen mockups with you. Photo shoots are timed for the right season and time of day, with each shot planned around what the design needs.
- 04
Development, launch, and ongoing support
We build the site on WordPress and launch it after checking the connection to your booking system and how it displays on smartphones. After launch, we keep updating and improving the site while watching how bookings come in.
About website costs and timelines
The cost of a ryokan or hotel website varies widely depending on the number of pages and structure, whether photography is needed, foreign-language pages, booking system integration and more. For this reason, we do not use a fixed price list. Instead, we provide an estimate tailored to your situation and requests.
Please consult us even if your budget is limited. We can suggest approaches that work well within your constraints, such as making use of your existing photos or launching high-priority pages first, in stages.
The production period also depends on the scale and timing of photography. If there is a season you want to capture, such as fresh spring greenery, autumn leaves or snow, or if you want to launch in time for a renovation or reopening, contacting us early gives us room to work.
Main factors in the estimate
- 01Number of pages and structure
- 02Whether photography is needed, and how many shoots
- 03Whether foreign-language pages are needed
- 04Booking system integration and migration from an existing site
- 05Other items produced alongside, such as a logo or brochure
- 06Scope of updates and maintenance after launch

Ryokan and hotel websites: FAQ
Q01What areas do you cover?
Based in Kobe, we work with ryokan, hotels and villas across Japan. Meetings take place mainly online, with a few visits in person, as we carefully learn about your property's appeal and your needs. For on-site interviews and photography, we suggest an approach that suits your location and wishes.
Q02How much does it cost?
Costs vary depending on the number of pages, photography, foreign-language pages, booking system integration and more, so we provide an estimate after hearing your needs. We can also suggest a scope and approach to fit your budget.
Q03How long does production take?
It depends on the scale of the site and the timing of photography. If you already have a launch date or a season you want to capture, we work back from there to plan the schedule, so please contact us early.
Q04Can we keep using our current booking system?
In principle, we build the site around the booking system you already use. We design a clear path from the official website to booking, including where to place booking buttons and entry points to plan lists.
Q05Should we stop listing on OTAs?
No. OTAs are an important way for guests to discover your property. Guests who find you on an OTA can then learn more about your appeal on your official website and want to book right there. Our goal is to create that division of roles.
Q06Can you also handle photography?
Yes. We decide on the shots needed based on the site structure, and handle everything from planning the shoot around season and time of day to directing on the day. If your existing photos can be used, we include them in our proposal.
Q07Can you create foreign-language pages?
Yes. We organize the information guests from overseas want to know and propose a structure that goes beyond translating the Japanese pages. We are also happy to discuss how to handle translation.
Q08Can we update the site ourselves after launch?
We build on WordPress so your staff can update plans, news, photos and more. We also offer support after launch, including update services, maintenance and adding pages.
Q09Can we also request a logo or brochure?
Yes. We can develop your logo, brochures, and on-site signage as part of an integrated branding project. A cohesive identity across your website, printed materials, and interiors helps communicate your property's character.
Q10Do you also work with private villa rentals?
Yes. We also create websites for properties with few rooms that sell the experience of the stay, such as private villa rentals and vacation homes. We organize what guests choosing a villa want to know, such as the building, views, facilities and check-in process, and propose a structure that leads to direct bookings.
